Instructions For Presentation Session Speakers

Deadline For Emailing Your Presentation To APEC

Please email your presentations in Microsoft PowerPoint (preferred) or Adobe Acrobat (alternate) format to the APEC offices (apec@apec-conf.org) no later than Wednesday, March 1, 2006 so that they can be loaded onto the computers in advance of the conference.

Deadline For Uploading Your Manuscript

You must upload your electronic manuscript to the webstracts.com server no later than December 5, 2005. This is a firm deadline! The conference will not present papers that do not appear in the proceedings.

Visas

International authors please begin the visa process immediately-it can take any where from 3-6 months to complete! Check The Information For International Travelers Web page for general information on obtaining a visa.

Please see the Requesting A Letter Of Invitation Web page for information on requesting a letter from the APEC offices. Please note that APEC can provided letters of invitation only to presenting authors who have paid their registration fees. If you need further assistance, contact the APEC offices.

Registration

All Presenting Authors are required, at a minimum, to register for and pay the normal registration fee for the Technical Session portion of the APEC Program. If you do not register for the conference before the submission site closes, then APEC will not publish your paper and you will be unable to present at the conference. Please register no later than December 5, 2005 to ensure that APEC publishes your paper.

IEEE Copyright

Webstracts will handle the IEEE Copyright transfer electronically this year. Webstracts.com will provide you with directions during the final manuscript upload procedure.

Language

APEC requires you to write and present all papers in English.

Expenses

All expenses related to preparing the camera-ready manuscript and presenting the paper at the conference are the sole responsibility of the author(s).

Mandatory Speaker's Briefing & Breakfast

7:00 AM - 8:00 AM; Lookout Room, Reunion Tower (Take the Observatory Level elevators)

All Presenting Authors, whether they are presenting in the morning or the afternoon, are required to attend the Speaker's Briefing on the morning of the day their paper is scheduled for presentation. At this meeting, you meet your session chair and receive instructions on your session. All presenting authors receive a complimentary breakfast. Bring along a short professional biography that your session chair can use to introduce you to the session audience.

As a side note, the view from the top of Reunion Tower is great. The Speaker's Briefing And Breakfast is a chance to see the view without paying for a ticket!

Presenting Your Paper At The Conference

Presentation at the Conference Required

If a paper is not presented at the conference, APEC reserves the right to not accept papers from any of the listed authors for one or more years.

Time Allowed To Make Your Presentation

Each paper is allowed:

  • 1 Minute for speaker introduction

  • 20 Minutes for presentation

  • 4 Minutes for questions and answers

Please plan your presentation accordingly.

Audiovisual Equipment

The following audiovisual equipment will be available in each meeting room for use during the conference:

  • LCD Data Projector with laptop computer

  • Transparency Overhead Projector

APEC will consider Additional audiovisual equipment needs on a case-by-case basis. Send your request to the APEC offices no later than February 3, 2006.

In order to assure the proper handling of your audiovisual material, please plan to meet with the projectionist 30 minutes before the beginning of the session.

Presentation Media - Computer Projection

APEC is encouraging all of its authors to prepare their presentations in electronic format. Microsoft PowerPoint® and Adobe Acrobat® are the two formats available. The preferred versions of PowerPoint are 2003 and XP/2002. Microsoft Powerpoint 97 files will be accepted but authors are encouraged that they will display properly on computers with the Windows XP operating system and PowerPoint XP/2002.

APEC will provide LCD computer projectors and computers in each session.

Please email your presentations to the APEC offices (apec@apec-conf.org) no later than Wednesday, March 1, 2006 so that they can be loaded onto the computers in advance of the conference.

APEC will not allow authors to connect their computers to the display projectors. Transferring the projector from one computer to another and back again takes too much time and creates opportunities for computer crashes.

We suggest that authors bring a back up of their presentation on a CD ROM or USB interfaced memory media.

Rehearsal Room

APEC will not have a space for you to preview or rehearse your presentation. This makes it most important that you attend the Speaker's Briefing and meet with the projectionist well before the start of your session.
